Below is a transcript from the first
minute book which was in poor condition when found in April 2004.
Minute Book covers 1954-06-21 to 1963-10-01.
First Meetings 1954
Inaugural Meeting 1954-06-21
Public Meeting held in the Memorial Hall Kahibah on Monday 21st June 1954
(1954-06-21)
Attendance : 23
Mr Roach, the headmaster opened the Inaugural meeting and welcomed all present.
He hoped that all future meetings would have such a good attendance.
He explained the purpose of the meeting to be that of forming a Parents and
Citizens Association and asked for a motion
to that effect.
It was moved by Mr Rodenhuis, seconded by Mrs C. Smith that the Kahibah Parents
and Citizens Association be formed. Carried.
Mr Roach called then for election of officers asking nominations.
President :
Mr Downey nominated by Mr Rodenhuis, seconded by Mr E. xxxxxx
Mr Ross nomiated by Mrs Weeks, seconded by Mrs Podmore.
On the show of hands xxx Mr Doweney xxx xxx Mr Ross.

xxx xxx were called for elections of 2 Vice Presidents.
Mr xxx nominated by Mr Bakewell, seconded by Mr Fraser.
Mrs C Smith nominated by Mrs Weeks, seconded by Mr Rodenhuis.
Mr Rodenhuis moved that nominations be closed. Seconded by Mr West. Carried
The president declared both nominees duly elected as vice presidents.

Mrs Smith had 62 xxxx for the Mothers Club and financial mothers have to be
adjusted, Mr Fraser moved that Mrs Smith
retain that position, seconded by Mrs Dixon, Carried.
Nominations were then called for Secretary.
Mr Rodenhuis nominated by Mr West, seconded by Mr O'Toole.
Mrs Bell nominated by Mrs Worthington, seconded by Mrs Crockett.
Moved by Mr Beal, seconded by Mr Siddaway that nomination close, Carried.
On a show of hands Mr Rodenhuis received 11 votes and Mrs Bell 7 votes. Mr
Rodenhuis declared elected.
A meeting night and annual meeting night to be decided.
It was moved by Mr Faser that the Monday meeting be held on the first Thursday
of the month and the Annual Meeting
night on the first Thursday in March, seconded by Mr Beal, Carried unanimously
by .
Moved by Mr Fraser and seconded by Mr Beal that Quorum for all meeting be
7 (seven). Carried.
Mr Bakewell moved that next meeting be held on July 15th (1954-07-15), seconded
by Mr Siddaway, Carried.
Moved by Mr Roach that subscription fee be 1/- (1 shilling = AUD 0.10),
seconded by Mr Fraser, Carried
General Business
it was explained by Mr Roach that it was necessary to have part of the
playground tar paved for assembly.
In wet weather it would xxxx xxxx become very boggy, cleaning of grounds as
there are ticks and snakes in the
undergrowth.
Fencing be erected so that a garden be started as soon as practicable. Also
that entrance be made from Frith Street as
many children live on the Northern side and a xxxx be put in on that entrance.
It was moved by Mr Beal that letters be written to the Minister requesting that
those request be xxx with copies to Mr
Simpson MLA and Mr Armstrong MLA, seconded Mr Sideway, Carried.
Mr Roach told meeting that xxx Club had paid a deposit on a xxxx and
loudspeakers out fit.
xxx xxx this way as the school xxx have of it for at least 18 months xxx if the
money xxx be raised first.
Mr Fraser moved that Mr Roach's xxx the Mothers Club action in pay xxx deposit
on xxx and loudspeakers be
approved, seconded by Mr xxx, Carried unanimously.
Mr Fraser said that he would like to move a vote of thanks for everything the
Mothers Club had done both past and
present members, seconded by Mr Ross, It was carried by acclamation.
Move by Mr Rodenhuis, seconded by Mr Siddaway that meetings open at 730pm (1930)
and close at 930pm (2130) with
one extension of 10 minutes, Carried.
Meeting closed at 920pm (2120).
First General Meeting 1954-07-15
General Meeting held on the 15th of July 1954 (1954-07-15) at the Memorial Hall Kahibah at 730pm (1930).
Attendance : 19 members
The chairman opened the meeting and welcomed everyone present.
The secretary read the minutes of the previous meeting. It was moved by Mr Kirkwood that the minutes be adopted, seconded by Mr Bell, Carried.
Correspondence:
Correspondence was read. Mr Bakewell moved that correspondence be received, seconded by Mrs Worthington, Carried.
Mr Roach explained that the public address system if 40 pounds (AUD 80) deposit was paid would cost about 7 pound 7 shillings (AUD 14.70) a month. Mrs Dixon said that tuckshop would not cover that amount but would raise about 5 pounds (AUD 10) a month. Mr Rodenhuis thought it better to pay 70 pounds (AUD 140) deposit which would bring the payments down to about 5 pounds (AUD 10) and less interest to pay. After lengthy discussions Mr Roach moved that 70 pounds (AUD 140) deposit be paid, seconded by Mr Gilshanan, Carried.
Mrs Dixon said it would be better to keep a Ladies Auxiliary for running tuckshop and other amenities. Mr Ross said that there was no reflection but all money spent must have the approval of the P&C ass. Mr Ross moved that the 22 pound (AUD 44) balance of the Mothers Club be kept as a working balance for the Auxiliary and a monthly account given, seconded by Mrs Weeks, Carried.
General Business:
Mr Roach said he would need a working bee as soon as timbers is available so as to speed up fencing of playground. Also that a flagpole of about 6 feet (2 metres) is needed. Mr Rodenhuis asked Mr Roach if 6th year pupils would be at the school next year? Mr Roach replied "yes" and said that the more children were booked in the more chance there would be of getting extra rooms build on. He was going to put a notice up so that all children who would start school in the next few years could be booked in.
Mr Kirkwood moved that a letter of that be written to Mr Curry for his office to bring the public address system from Sydney free of charge for the Association, seconded by Mr C Smith, Carried.
.Mr Downey moved that a working bee be called for erecting seats as soon as timbers arrives, seconded by Mr C Smith, carried.
Mrs Podmore asked when will we have the official opening date. After some discussion, Mr C Smith moved that the official opening date be on Saturday the 23rd of October 1954 (1954-10-23), seconded by Mr Gilshanan, Carried. (*** Note the opening was postponed to 1955-03-26, it was again postponed to 1956-08-11.)
Mr Downey said that we should make as much money as possible on the opening date. Mr Roach moved that a organizing committee of 5 members be appointed, seconded by Mr Downey, Carried. The chairman asked for nominations.

Mr Rodenhuis moved that all 6 nominees be elected, seconded by Mr Downey, Carried.
Moved by Mr Rodenhuis and seconded by Mr Roach that Mr Armstrong MLA be invited to official open the school and that the Area Director, the District Inspector, Mr Simpson MLA, the President and the local members of the Lake Macquarie Shire Council be invited to be present at the opening, Carried.
The Secretary was instructed to write to the Government Store Department to ask the cost for 36 cups, saucers and plates.
Mr Ross moved that the secretary be reimbursed with 1 pound 1 shilling (AUD 2.10) for books and papers and be given 2 pounds (AUD 4) for petty cash, seconded by Mr Downey, Carried.
The chairman closed the meeting at 920pm (2120).

In 2005, all Minute Books for P&C for the period 1954-1963 have been donated to the University of Newcastle. They are held in the Archives of the Auchmuty Library. The books are available to be viewed but not borrowed.
